Top 10 Reasons SharePoint 2010 Changes the Game

Here are my Top Ten quick takes on new Document and Record Management capabilities in SharePoint 2010:

 

 

  1. Unique Document ID’s: Every doc has a unique identifier and unique link.  I can send you a link to a specific document and the link will work no matter where the real document lives.
  2. SharePoint Workspaces: Documents …heck, whole SharePoint sites, can be taken offline using the SharePoint Workspace.
  3. Document Storage: Storage capacities have been massively increased and documents can optionally be pushed outside SQL Server, such as to the file system.
  4. Easily Find Documents: Transform the act of “search” into “finding” using tools such as metadata filter web parts and enterprise search to locate the documents you need.
  5. Edit Documents in Real-time: Edit docs right in the browser with Office Web Apps.
  6. Enterprise Document Management: Manage all the core aspects of your documents including check in/check, versioning, permissions, history and workflow.
  7. Content  Organizer: A user can submit documents to ‘SharePoint’ and the Content Organizer will make sure it goes to the right place, even if that place resides in another site collection!!
  8. Faster: User interface is much, much faster with no browser refreshes or long waits.
  9. Taxonomy and Metadata: Metadata fields (like Customer Name) can be used across SharePoint, not just within a single Site Collection.  A centralized taxonomy allows terms to be managed across the organization.
  10. Enterprise Records Management: Records can live anywhere–a document can be converted into a ‘protected’ record yet still remain in the document library it was created.  Or, move it to a Record Center but leave a link behind.  From storage to retention and disposition, information management policies rigorously address all records management requirements.

I am planning for a document collection from various users and store it one location in Recordes Center. After studying the whole Records management in 2010 I got excited and adopting this in my new architecture. What I am wondering is….

Once the users drop off the document and collected in records center, can I view these records filtered thru the content query web part in a complete differrent site or same site and may be a different web app all together. The key here is you can not see others documents and others can not see your documents. Also I should be able to edit my own documents later if I want to.

Can I do that?

Great question. The short answer is yes, you can use content rollups (similiar to the content query web part logic) across site collections to view content in a central location.

The long answer is that to use a “global” web part requires some knowledge of SharePoint Designer. Here is a technet forum posting which addresses this issue.
